  Answer: This date represents the last date a boarding service transaction was created and entered for this horse. If an * is in the “UB” column, the boarding transaction has been created and entered in Transaction Review, but it has not been invoiced. If no * is in the “UB” column the “Board Billed Thru” date is the actual last date invoiced for board.

  Answer: Once a Board/Boarding or Mare Care service is transacted and displayed in Transaction Entry the * is placed in this column. It is there to help remind you that a boarding transaction has already been created for this horse for the current billing cycle and is waiting to be invoiced. Once the boarding transaction is processed and “billed” on an invoice the * is removed.

  Answer: Horse names in BOLD letters mean that it is a customer horse and not farm owned. Farm Owned horses are in normal text.

  Answer: Click the “no” in the Select column to change it to “Yes”. The selected name will change the row to Red.

  Answer: No. Horses stay selected until you deselect. You can deselect by clicking the “Yes” in front of a selected horse and change to “No”. Or right click on the grid in the horse name column and select “Deselect All”. All selected horses will be deselected.

  Answer 1: No, you can “double” click on the service you wish to select and highlight in the service list and the horses will display.

  Answer: Click “Bill to Selection Options – Customers” your customer list will display. Select customer(s) by clicking Yes in the first column in front of the customer name.

  Answer 1: Is the horse On-Farm? If, no, uncheck “List On-Farm Horses Only”.

  Answer 3: Only “Active” horses are displayed.

  1. Click Cancel and then Transaction Review at the top of the Transaction Entry page to open the Transaction Review page. All new transactions that are to be billed to customer invoices are displayed here. You can delete and edit transactions from this page prior to creating a customer invoice. These same transactions are recorded in Care, Provider, INFO and Cost Analysis Reports.
  2. Click Transaction Review under the menu selection Billing on the menu window.

  Answer: Only billed services display in Transaction Review. Transactions for Farm Owned horses or horses with 0% billed ownership are recorded and may be previewed or printed in Care, Provider Activity Report, INFO – Health and Vet Service Folders and Cost Analysis Report.

  Answer: In Horse Maintenance Inventory/Location select Contract Type as “Other”. You may also enter the “Other” description. For Example: Show Breeding Mare

  Answer: Miscellaneous services not assigned to other service categories. They can be any service you want to bill that is not listed in the service list. Subcategories for MSCNONASSIGN are MSCCustomers and MSCHorses. Selecting either of these services and enter any Service Transaction Description you wish to appear on the invoice description.

Example: Show Mileage is displayed and I want to add the date and location of the show to the description.
  Answer: For all Categories except Board you can simply type in what you want it to say. Whatever is entered in the “Service Transaction Description” field will be displayed on the customer invoice.

  Answer: Right click on the horse name and a menu will appear that allows you to view owners.

  Answer: Click the “Yes” in front of the name to change it to “No”.

  Answer: The amount to be billed to that horse or customer will display.

  Answer: Each service transacted is assigned to the provider of the service. This allows the manager to track completed services for horses by the responsible party. It is very helpful when comparing invoices from providers to farm billed services. It is also helpful when tracking horse health and vet services completed by horse name and date. Run - Provider Activity Report – Completed Activity.

  Answer: If you want to schedule the same activity you are currently transacting on a future date, check the box and enter the date to be reminded. The activity will appear on the HiMARK$ menu/calendar window and may be previewed by running an Activity Reminder or Provider Activity/Scheduled report.

  Answer: No. If the horse is to be billed from any date other than the Arrival date or the day after the recorded “Boarding Billed Thru” date, the horse needs to have a new service record created. This change in service or date can be entered in Transaction Entry by using the Service List. Select the new Board/Boarding or Mare Care service from the list and then enter the new “Bill Boarding From” and “Bill for Boarding Thru” dates. Once the new service is invoiced the new record is saved and the “Create Transactions for Current Boarding” feature may be used in the next billing cycle.

How do I bill this horse for the current service and then the new service in one billing cycle?
  Answer: Click “Create Transactions For Current Boarding” and select the horse. Enter the new “billed thru date” for the current service and Save. Then click +ADD and select the Board/Boarding or Mare Care service in the Service List that represents the new service to be billed. Enter the “Bill Boarding From” (the starting date for the new service) and the “Bill for Boarding Thru” (the last day of the boarding period to be billed). Click Save. Check Transaction Review. Both billing periods will be reported on the Review page. The new service code will now be the “Current Board Service Code”. The new service will also be changed and recorded on the horse inventory record once billed.

  Answer: You must enter this boarding service transaction through the Service List the first time you bill boarding for this horse. “Create Transactions for Current Boarding” creates transactions only from the Arrival date or the last Boarding Billed Thru date. Board services selected from the Service List allow you to enter a starting date, “Bill Boarding From” and an ending date, “Bill for Boarding Thru”. Once a boarding service, service code and the date billed thru is created it is recorded in the Transaction Entry table.

  Answer: Yes, it will bill only thru the departure date. Don’t forget to check “Include Departed Horses” in your Selection Options. Departed horses will not be displayed unless this option is checked.

Horse business software, Horse management software, Equine business software, Equine management software, Equine accounting, Horse accounting Question: I have many horses on my transaction list that are “Departed” and I no longer want to bill them. How can I make them go away?
  Answer: Locate the horse’s record in Horse Maintenance and click Edit. Then uncheck “Horse is an Active Horse”. This horse will now be considered “Inactive” and will no longer show on any “search or find” list. This will make your HiMARK$ system more manageable.

Horse business software, Horse management software, Equine business software, Equine management software, Equine accounting, Horse accounting Question: Is it required to enter “Service Costs” – “Cost(Per UOM):” and “Total Cost:” fields on the bottom left of the Transaction Entry window?
  Answer: No. Cost tracking is optional, but is highly recommended as a management tool. Since farm owned horses are not traditionally “billed”, the farm “Cost” (may be actual or estimated cost) of the transaction may be entered in this field. The “Cost” is then recorded to each horse’s cost record. All horses, farm owned and customer owned, may have a cost of service entered.

  Answer: Costs and its subcategories “Costs Per Diem” is an estimated cost figure for farm-owned boarding expenses. It means per day cost. This is helpful when a manager seeks an estimated cost per day for each horse in addition to actual charges and services transacted as they occur. Cost Per Diem considers expenses like: labor costs, farm utilities, feed, taxes, farm insurance. For example: Pasture Per Diem might be $4.00 per day. Stall Per Diem might be $10.00 per day. Farm owned horse Cost Per Diem would be the same as a customer horse’s “board cost”.
